The fax pile, sorted before anyone opens it

Medical practices still run on fax, and somebody at your front desk loses around an hour a day to it. Opening PDFs one at a time, working out which patient each one belongs to, deciding what needs a doctor now and what can wait, then retyping the details into Best Practice.

X-Fax reads each fax as it lands, works out who it is about, summarises it, and flags the urgent ones so they reach someone straight away rather than sitting in a stack until after lunch.

An hour a day is a real cost

Roughly an hour of receptionist time every day, on a job that produces nothing except sorted paper. Over a month that is most of a week, and it lands on the person who should be looking after the people in front of them.

The worse cost is the one nobody counts. Urgent pathology results sitting in a pile because they arrived at 8:40am between two referrals and a fax from a supplier. Nothing goes wrong most days. The risk is the day it does.

What it actually does

  • Reads every fax as it arrives, in about thirty seconds
  • Identifies the patient and summarises what the document is
  • Flags urgent results so they surface first
  • Pre-fills patient details into Best Practice instead of someone retyping them
  • Keeps a searchable archive, so finding last March's referral takes seconds
  • Sends outbound faxes straight from your clinical software, no printing

Works with what you already run

  • Best Practice
  • Medical Director
  • Zedmed
  • Genie

Your existing fax number ports across. Nobody who sends to you needs to change anything, and there is no hardware to buy or maintain.

Where the data sits

Patient information in a fax is health information, and the Australian Privacy Principles apply to it the same as anything else in the practice.

Faxes are processed onshore rather than sent offshore for handling, which is the question worth asking any provider before you sign with them.

What it does not do

It does not replace clinical review. Every fax still gets looked at by your team. The AI triage moves the urgent ones to the top of the pile and saves the retyping; it does not decide what matters medically and it does not get the last word.

If a practice tells you their system reads results so nobody has to, walk away from that conversation.

Where we come in

X-Fax is Powered by Pear Australia. We are a partner, which means we set it up for your practice, port your number, connect it to Best Practice, show your reception team how it works, and are the people you ring when something looks wrong.

There is a free trial, so you can see how it handles a week of your actual faxes before committing to anything.

How many faxes does your practice get in a day?

Tell us that and which clinical software you run, and we will tell you what this would save you and whether it is worth the change.
